29 January 2024
In October, a records management audit was conducted by the Western Cape Archives and Records Services to secure an overall view of the Muncipality’s records management functions and processes in terms of the Provincial Archives and Records Services of the Western Cape Act 3 of 2005.
This audit is conducted every three years and due to the improved records management process and timely updates of compliance documents, the Municipality’s already high baseline scoring of level 4 (compliant) was upgraded to the highest score being a level 5 transformational scoring.
In it’s report the Western Cape Archives and Records Services highlighted that this achievement showcases the Municipality’s “unwaving commitment to excellence and ensures the long-term preservation of its valuable records”.
Commenting on the achievement, Municipal Manager Wilfred Solomons-Johannes today said he was proud to announce that the Municipality has achieved recognition as a model of excellence in records management.
“We stand proud as an inspiration for other government bodies to adopt similar practices in fostering a culture of efficiency and transparency in public administration.”
He also highlighted that effective record management is a great, but important undertaking in any public administration office and cannot be successful without determined staff.
“I would like to extend my heartfelt gratitude to our dedicated staff, whose outstanding work and unwavering commitment to public service and record keeping have been instrumental in achieving this recognition,” he said.
“Their diligence and professionalism have played a pivotal role in making our municipality a shining example of excellence. It is through their collective efforts that we have set a high standard for records management, and I once again express my sincere appreciation for their hard work and dedication.”
The Theewaterskloof Municipality was further praised in the report for making great progress in automating and streamlining record management functions and processes, which have led to a fully electronic environment, thus eliminating the need for physical records generations and improved resource utilisation.
“The Theewaterskloof Municipality now stands as a model for excellence in records management, inspiring other governmental bodies to embrace similar advancements. This journey serves as a powerful reminder that dedication, collaboration, and an unwavering commitment to safeguarding valuable historical records are key to achieving sustained excellence,” reads an extract from the report by the Western Cape Archives and Records Service.
